The document arrives
By email, through an online form, from the office scanner or in a shared folder. Your customers and suppliers don’t have to change their habits.

Purchase orders, contracts, supplier quotes, customer files: every day your teams spend precious time opening, reading and copying documents that arrive in every possible form. This work is essential, but it is tiring, it slows things down and it lets errors slip through. At Kreante, we take the time to understand your documents and the way you work, then we set up an AI that takes care of reading and data entry. Your teams stay in control of everything that requires their judgement, and are alerted as soon as a document raises a question.
265+ projects delivered in 35 countries · 4.9/5 average rating on Clutch · up to 5,000 contracts analysed every month for a single client

Do these situations sound familiar?
Delivery notes re-entered one by one into the ERP, with the risk of a quantity error on every line
Incomplete customer files, sent back two or three times before they can be processed
Signed contracts whose renewal clauses nobody rereads until it is too late
A shared inbox where quotes, complaints and supporting documents arrive all mixed up
An intern who knows the file server’s filing system better than anyone, and who leaves at the end of the month
Manual data entry takes time, and its errors often cost you later: an order recorded wrongly, a missed deadline, a file stuck for weeks. Our role is to hand this repetitive work over to AI, so that your teams can focus on what they do best: advising, negotiating, deciding.
In practice, here is what happens between the moment a document arrives and the moment the information is recorded in your tools.
By email, through an online form, from the office scanner or in a shared folder. Your customers and suppliers don’t have to change their habits.
Even a crooked scan, a busy table or handwriting.
A quote is not processed like a contract, so each one follows the right path.
Amounts, dates, references, signatories or important clauses.
Are the amounts consistent? Do they match the order? Is a document missing? At the slightest doubt, the document is passed to someone on your team.
ERP, CRM or document management. What comes next is triggered automatically, whether an alert, a task or a reminder for a missing document.
You may already use software that “reads” PDFs. This technology, called optical character recognition or OCR, turns an image into text, but it doesn’t understand what it reads: to it, an amount is just a string of digits. Recent AI models go further. They understand that it is a total to be paid, find the due date even when each supplier puts it somewhere else, and spot an unusual clause in a contract.
| Approach | What it does | Its limits | Ideal for |
|---|---|---|---|
| Text recognition (OCR) | Turns a scan or photo into text | Doesn’t understand the content, and often requires one template per layout | Archiving documents and making them searchable |
| Specialist extraction software | Classifies documents and picks out predefined fields | Configuration per document type, cost per page at high volume | Standard documents, in very large numbers |
| Language and vision models | Understand the document as a whole, including free text or a contract clause | Must be framed by checks, because a plausible answer can be wrong | Varied documents, contracts, letters |
That doesn’t mean choosing the most advanced technology every time. At Kreante, we start from your documents, choose the simplest solution that reaches the reliability you need, and explain why.
Purchase order, delivery note, invoice: three documents that tell the same story, and that your teams often compare line by line. AI does this matching for them and only flags the discrepancies.
Your contracts are full of commitments, dates and conditions that nobody has time to reread regularly. We set up monitoring that alerts you before it is too late.
Nothing is more frustrating, for you and for your customer, than a file sent back three times for a missing document. AI checks every file on receipt and immediately asks for what is missing.
Intervention reports, diagnostics, test results: these documents are long and technical, and your experts spend hours on them. AI extracts the essentials and prepares a first summary, which they just have to validate.
The French e-invoicing reform is good news for your accounting teams. Since 1 September 2026, all companies must be able to receive electronic invoices. Large companies and mid-sized companies already issue them in this format, and SMEs and micro-businesses will follow on 1 September 2027. From that date, an invoice sent as a simple PDF or as a scan will no longer be compliant[1].
Your supplier invoices will increasingly arrive already structured, via your approved platform. There is no question of making you invest in a tool that would duplicate it: from the assessment, we check with you what your platform already handles.
The reform doesn’t solve everything, though. Invoices from your foreign suppliers still need processing, as do the documents surrounding each invoice: quotes, purchase orders, delivery notes, contracts and supporting documents. That is where price discrepancies, incomplete deliveries and hours of data entry hide, and that is where AI saves you the most time.
Contracts, bank details, identity documents, payslips: your documents contain some of your company’s most sensitive data. Entrusting them to AI therefore requires the right precautions. A contract uploaded to a free online tool, an application generated in a few hours then put online without checks, a document received from outside that hides instructions meant to trick the AI or that has been falsified to obtain a payment: the flaws are many, and attackers also use AI to find them.
At Kreante, we build these risks into the design, so that you benefit from AI without compromising on security:
Hosting suited to the sensitivity of your documents, in Europe when necessary
Documents never used to train AI models
Access reserved for authorised people, according to each person’s rights
Hidden instructions detected and neutralised before any processing
Consistency checks to spot altered documents
A retention period defined with you, in line with the GDPR
Before any commitment, we work on a sample of your real documents, with their flaws: crooked scans, varied layouts, handwritten notes. You judge on the evidence.
Off-the-shelf software, an extraction service or an AI model: we choose according to your documents and volumes. If existing software meets your need, we recommend it.
A document that has been read is only valuable if the information reaches the right place. We connect the processing to your ERP, your CRM or your document management tool, and your teams keep working in their usual environment.
For each type of document, we measure the error rate on your data and set with you the confidence level below which a person checks. You know at all times what was processed automatically, and why.
The code, the control rules and the connections are yours, with no fee per page processed. You can change AI model provider without rebuilding everything.

A few dozen representative documents, including the hardest ones.
The information to pick out, the checks to run and what must always be approved by a person.
Reliability is measured document by document before anything goes live. On the development side, our AI tools write the code, our senior developers lead and validate it.
Processing starts on your real flow, with reinforced human review in the first weeks.
New document types, new sources, new tools connected, as results come in.
Once your documents are organised, your teams can query them in plain language instead of searching through folders.
Hands-on sessions to learn how to check AI’s work and improve it day to day.
In 30 minutes, an expert reviews the documents you process, tells you which ones AI can handle and the realistic level of reliability, then gives you a first estimate. You leave with clear priorities, whether you work with us or not.
It is the use of artificial intelligence to read a document, understand its content, extract the useful information and pass it on to the company’s software. It is also called intelligent document processing, or IDP. It applies to structured documents, such as a form, as well as to free-form documents, such as a contract or a letter.
Three families of tools can process documents:
Most projects combine these tools: an AI model to understand varied documents, an extraction platform for standard flows, and control rules to check the result. The right choice depends on how varied your documents are, their volume and the level of reliability expected.
Fewer than you might think. Recent AI models can already read most common documents, with no lengthy prior training. A few dozen representative examples are generally enough to tune the checks and measure reliability. Remember to include the hardest cases: crooked scans, handwritten notes, unusual layouts. That is where a solution is really judged!
Yes. Assistants such as NotebookLM, ChatGPT, Claude or Mistral AI’s Le Chat let you summarise or query a PDF, often for free. They are suitable for occasional use, on non-confidential documents. To process company documents at scale, they quickly show their limits: no connection to your software, no systematic checking of results, and data usage terms often incompatible with contracts or personal information.
Vendors claim up to 99.5% accuracy for reciTAL and up to 99% at Automation Anywhere. These results are obtained on their customers’ documents. Yours may give different results, because reliability varies with:
Measurement focused on the useful information. An overall error rate can be misleading. In the example given by Microsoft, an AI that gets 2 words wrong out of 30 shows only a 6% error rate. But if those 30 words make up 10 customer names, 2 names out of 10 are wrong, a 20% error rate. At Kreante, we therefore measure reliability on the information you actually use: amount, reference, due date.
A confidence threshold so nothing slips through. Every piece of information picked out by AI comes with a confidence score. You just need to set a threshold:
| Confidence score | What happens |
|---|---|
| Above the threshold | The information is recorded automatically in your tools |
| Below the threshold | Someone on your team checks before it is recorded |
The threshold is set according to the cost of an error: stricter for bank details than for filing a letter.
No. Your ERP, your CRM and your document management tool stay in place: AI processing connects to them and deposits the information it picks out. For your teams, nothing changes in their habits, except that they no longer have to copy everything.
At Kreante, every project is priced on a custom quote, based on a scope defined together in writing, after a free assessment. The budget depends on five factors:
| What changes the budget | Why |
|---|---|
| The number of document types | Each type requires its own extraction and control rules |
| The quality of the documents | Damaged scans, handwriting or very varied layouts require more work and testing |
| The checks expected | Matching a document against your ERP or detecting falsification goes further than simple reading |
| The tools to connect | Each connection to an ERP, a CRM or a document management tool is a significant part of the project |
| The volume | It guides the choice of technology, and therefore running costs |
After go-live come running costs: use of AI models or extraction services, often billed per page, hosting and maintenance.
At Kreante, these points are identified at the scoping stage, without replacing a lawyer’s opinion when your situation calls for it.
The market brings together vendors of ready-to-use platforms, the services of the major cloud players and integrators who design custom solutions.
